Cadence Pro Tech LLC ("CadencePro," "we," "us," or "our") operates the CadencePro practice management platform available at cadencepro.app. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our services.

1. Information We Collect

Account Information: When you register, we collect your name, email address, business name, and billing information.

Client Data: As part of providing our services, you may input information about your clients including their names, contact information, and business details. This information is stored on your behalf.

QuickBooks Data: With your explicit authorization through OAuth 2.0, we access your clients' QuickBooks Online financial data including transactions, invoices, customers, and financial reports. We access only the data necessary to provide the features you use. We do not sell or share this data with third parties.

Communications Data: We store messages sent through the platform including SMS, email, and portal communications between you and your clients.

Usage Data: We collect information about how you use the platform including features accessed, actions taken, and device information.

Payment Information: Billing is processed through Stripe. We do not store your full credit card number. Stripe's privacy policy governs payment data handling.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the CadencePro platform
  • Process your subscription and billing
  • Send transactional communications such as invoices, receipts, and account notifications
  • Send product updates, new feature announcements, and educational content related to bookkeeping practice management (you may unsubscribe at any time)
  • Respond to your support requests
  • Comply with legal obligations
  • Detect and prevent fraud or abuse

3. QuickBooks Online Integration

CadencePro integrates with Intuit QuickBooks Online through Intuit's official API. By connecting a QuickBooks account you authorize CadencePro to access that account's data as described in our authorization flow. We use this access solely to provide features within CadencePro on your behalf. We do not sell, rent, or share QuickBooks data with any third party. OAuth tokens are encrypted at rest. You may disconnect your QuickBooks integration at any time through the Settings page, which revokes our access to that account's data.

4. Data Storage and Security

Your data is stored using Supabase, a secure cloud database platform. All data is encrypted in transit using TLS and encrypted at rest. OAuth tokens and sensitive credentials are encrypted using industry-standard encryption. We implement access controls to ensure only authorized personnel can access production data. While we implement reasonable security measures, no method of transmission over the internet is 100% secure.

5. Data Sharing and Disclosure

We do not sell your personal information or your clients' data. We share data only in the following limited circumstances:

Service Providers: We use third-party service providers to operate the platform including Supabase (database), Stripe (payments), Twilio (SMS), SendGrid (email), and Intuit (QuickBooks integration). Each provider has their own privacy policy governing their data handling.

Legal Requirements: We may disclose information if required by law, court order, or governmental authority.

Business Transfer: If CadencePro is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.

6. Data Retention

We retain your account data for as long as your account is active. If you cancel your account, we will delete your data within 90 days of cancellation upon written request to info@cadencepro.app. Some data may be retained longer if required by law.

7. Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your information
  • Opt out of marketing communications at any time by clicking unsubscribe in any email or contacting us at info@cadencepro.app
  • Disconnect third-party integrations at any time through the Settings page

8. Children's Privacy

CadencePro is not directed to children under 13. We do not knowingly collect personal information from children under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through a notice in the platform. Continued use of the platform after changes constitutes acceptance of the updated policy.
